This policy describes how APS Recruits (“APS Recruits,” “we,” “us”) collects, uses, stores, and shares information when you use the APS Recruits mobile application and the website at https://apsrecruiting.io. APS Recruits is a recruiting app for student-athletes and their families. It is used to keep an athlete profile, contact college programs, and publish highlight videos.

Information We Collect

We collect the following information when you create an account, build a profile, connect a service, or contact us.

Account information

• Name and email address
• Whether the account is an athlete or a guardian
• An account identifier from our sign-in provider, Auth0, so we can recognize your login

Family and guardian information

• Family name and which accounts belong to that family
• Invitation email addresses for people you invite
• For a guardian: name, email, phone number, and relationship to the athlete

Athlete profile information

• Name, email, and phone number
• Date of birth, grade, and graduation year
• City and state
• Sport, position, statistics, and achievements
• Academic information, performance metrics, and school lists you or your guardian enter

Photos, videos, and files you upload

When you add a photo, video, or other file for a profile, an email, or a YouTube upload, we receive that file so we can complete the action you requested. Files are stored with Amazon Web Services.

Subscription information

Payments are processed by Stripe. We store a Stripe customer identifier and your subscription status. We do not store your full payment card number.

Support messages

If you contact us, we keep the message and the contact details you provide so we can respond.

Connected accounts

If you choose to connect Gmail, YouTube, or X, we collect the information described in the sections below, plus the access tokens those services issue so the connection can stay active.

How We Use Your Information

We use the information above for these purposes:

• Create and secure your account and your family’s account
• Show and update athlete and guardian profiles
• Send the recruiting emails you write, and show you the replies
• Upload the highlight videos you choose to publish, and show statistics for those videos
• Post or message on X when you ask the app to do so
• Process subscriptions and billing
• Respond to support requests
• Protect the service against abuse, debug failures, and comply with law

We do not sell your personal information.

Google User Data

Google user data is collected only if you connect a Google account to APS Recruits. You can use the rest of the app without connecting Google. Connecting Gmail and connecting YouTube are separate choices.

What Google user data we access

Gmail. If you connect Gmail, APS Recruits requests permission to send email as you and to read email in that account. We access:

• Your Gmail address
• Emails you send from APS Recruits, including recipients, subject, body, and files you attach
• Replies in those conversations, including the sender, recipients, subject, body, date, Gmail labels, and attachment file names and types
• Inbox message details (sender, recipients, subject, date, and labels) when you open mail in the app, so we can show the conversation and identify replies

We check Gmail threads tied to email sent from APS Recruits for new replies. Attachment file contents are retrieved from Gmail when you open an attachment. We do not keep a separate copy of those attachment files.

YouTube. If you connect YouTube, APS Recruits requests permission to upload videos and to view your YouTube account. We access:

• Your channel name, description, thumbnail, subscriber count, video count, and view count
• Videos you choose to upload from APS Recruits, including the title, description, tags, and privacy setting you select (public, unlisted, or private)
• View, like, comment, and related statistics for videos, so we can show how those videos are performing

We use that YouTube access to upload videos you submit and to display your channel and video statistics in the app. We do not change channel settings, delete videos, or post comments on your behalf.

How we use Google user data

We use Gmail data only to send the messages you compose in APS Recruits and to display those conversations and replies to you in the app. We use YouTube data only to publish the videos you choose to upload and to show you channel and video statistics inside the app.

This use is limited to providing and improving those features, which are visible in the app. We do not use Google user data for any other purpose.

In particular, we do not use Google user data for advertising, including personalized, retargeted, or interest-based ads. We do not sell Google user data. We do not transfer it to data brokers, information resellers, or advertising platforms. We do not use it to determine credit-worthiness or for lending. We do not use Google user data, including data from Gmail or YouTube, to develop, improve, or train generalized or non-personalized artificial intelligence or machine learning models.

APS Recruits' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How we store Google user data

We store:

• OAuth access tokens and refresh tokens for the Google account you connected. These tokens are encrypted at rest with AES-256-GCM.
• Copies of messages sent from APS Recruits and replies in those threads (sender, recipients, subject, body, date, labels, and attachment metadata), so you can read them in the app.
• YouTube video records for uploads made from the app, including title, description, privacy setting, video link, and statistics.

This information is stored in our database hosted on Amazon Web Services. Video files you upload are sent to YouTube. We do not keep a separate copy of the video file on our servers after the upload finishes.

How we share Google user data

We share Google user data only in these cases:

• With Google, at your direction. Emails you send are delivered through Gmail to the recipients you chose. Videos you upload are published to your YouTube channel with the privacy setting you chose.
• With Amazon Web Services. AWS hosts our application and database and stores the Google user data described above so we can provide the Gmail and YouTube features. AWS processes that data only on our behalf.
• With people on your APS Recruits family account who are signed in and allowed to act for that athlete profile, so a parent or guardian can use the same recruiting tools.
• With our staff, in limited cases. People who work on APS Recruits do not read your Gmail messages or YouTube content unless you ask us to review a specific message or file (for example, in a support request), we need to investigate security abuse or a bug, the law requires it, or the data is aggregated so that it no longer identifies you and is used for internal operations.
• If the law requires it, or to investigate abuse and protect the security of the service.
• In a merger, acquisition, or sale of assets, and only after we obtain your explicit prior consent before Google user data is transferred.

We do not transfer or disclose Google user data to third parties for any purpose other than the ones listed above.

How we protect Google user data

We protect Google user data with the following measures:

• Encryption in transit using HTTPS
• Encryption of OAuth tokens at rest using AES-256-GCM
• Access to production systems limited to people and services that need it to operate APS Recruits
• Database storage on Amazon Web Services with access controls

How long we keep Google user data, and how to delete it

We keep Google user data only while your Google account is connected and we need it to provide the Gmail or YouTube features in the app.

You can disconnect Gmail or YouTube in APS Recruits, or revoke APS Recruits from your Google Account permissions. You can also email service@apsrecruits.com and ask us to delete your data, or delete your APS Recruits account.

When you disconnect Google or delete your account, or when you ask us to delete Google user data, we delete the Google user data we have stored, including tokens, stored email, and YouTube records from the app, within 30 days. We may keep a record of the deletion request itself where we need it for security or legal compliance.

X (Twitter)

If you connect X, APS Recruits requests permission to read and publish posts, read your X user id, read and update follows, upload media, and read and send direct messages. We use that access only so you can post, follow accounts, and send messages you start in the app. We store the tokens X issues and the posts you create through APS Recruits. We do not sell this information. You can disconnect X in the app or revoke APS Recruits in your X account settings.

Information Sharing

We do not sell, trade, or rent your personal information. We share information in these circumstances:

• Service providers that process data for us: Auth0 (sign-in), Stripe (payments), Amazon Web Services (hosting and file storage), and, only when you connect them, Google and X, to carry out the action you requested.
• Family members on your APS Recruits family account who are allowed to view or manage that account.
• Recipients you choose, such as the people you email and the audience of a video you publish.
• Legal and safety reasons, when disclosure is required by law or needed to investigate abuse or protect the rights and safety of users and the service.
• A business transfer, such as a merger or sale of assets. Google user data is transferred in that situation only with your explicit prior consent, as described above.

Data Security

We use technical and organizational measures to protect personal information against unauthorized access, alteration, disclosure, and destruction. Those measures include HTTPS for data in transit, AES-256-GCM encryption for connected-account tokens at rest, and restricted access to our production systems and databases.

Data Retention

We keep account and profile information for as long as your account is open and we need it to provide APS Recruits. If you delete your account, we delete or de-identify personal information within 30 days, except where we must keep a limited record for legal, security, or billing purposes. Retention of Google user data is described above.

Your Rights

You can access and update your profile in the app. You can request a copy of your information, ask us to correct it, or ask us to delete it by emailing service@apsrecruits.com. You can revoke Google access at any time in your Google Account permissions.

Children

APS Recruits is intended for student-athletes and their parents or guardians. Athlete profiles, including profiles of minors, are created inside a family account. We do not knowingly collect personal information directly from a child under 13 without a parent or guardian. If you believe we have done so, email service@apsrecruits.com and we will delete that information.

Changes to This Policy

We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page. If we change how we use Google user data, we will notify you and ask for consent before we use Google user data in a new way.
